This policy explains how Trilogent AI processes the personal data you send us through this website’s contact form, in accordance with Costa Rica’s Law No. 8968 on the Protection of Individuals with Regard to the Processing of their Personal Data and its regulations.

1. Data controller

The controller of the database and of the processing is Trilogent AI , located in San José, Costa Rica. For any questions about this policy or your data, email us at sales@trilogent.ai.

2. What data we collect

We only collect the data you provide in the contact form:

  • Required: full name, work email, company, topic of interest and message.
  • Optional: job title.
  • Minimal technical data: to protect the form against automated submissions (spam), the server temporarily stores an encrypted, irreversible version (hash) of your IP address and the time of submission. It is not used to identify you and is not shared.

If you don’t complete the required fields, we won’t be able to handle your inquiry through this channel; you can always email us directly.

3. How we use it

We use your data only to:

  1. Respond to your inquiry and schedule a conversation, if you request one.
  2. Follow up on any business relationship that results from that inquiry.

We don’t use your data for profiling, we don’t sell it or share it with third parties for commercial purposes, and we won’t send you marketing communications without your prior, express consent.

We process your data based on your free, express and informed consent, which you give by ticking the acceptance box on the form after reading this policy. You can withdraw it at any time by emailing sales@trilogent.ai; withdrawal does not apply retroactively.

5. Who has access to your data

Your data is handled by the Trilogent AI staff who respond to business inquiries. To run the website and email, we use web hosting and email providers that act as data processors and only process the data to provide that service. These providers may host their servers outside Costa Rica; by submitting the form, you consent to that transfer, limited to what is needed to deliver your message to us.

We will not share your data with any other third parties, except where required by law or by a competent authority.

6. How long we keep it

  • Messages are kept for as long as needed to handle your inquiry and any resulting business relationship, and are then deleted.
  • The anti-spam technical record (IP hash and time) is automatically deleted within 24 hours at most.

7. Your rights

Under Law No. 8968, you may at any time exercise your rights of:

  • Access: to know what data we hold about you and how we process it.
  • Rectification: to correct inaccurate or incomplete data.
  • Erasure: to request deletion of your data when it is no longer needed or you withdraw consent.
  • Withdrawal of consent.

To exercise them, send your request to sales@trilogent.ai stating your name and the right you wish to exercise. We will respond within the time limits set by the law and its regulations, free of charge.

If you believe we have not handled your request properly, you may contact Costa Rica’s data protection authority, the Agencia de Protección de Datos de los Habitantes (PRODHAB).

8. Security

We apply reasonable technical and organizational measures to protect your data: the website runs exclusively over an encrypted connection (HTTPS), email is sent through an authenticated SMTP server, and server credentials are stored outside the public area of the website.

9. Cookies and analytics

This website does not use cookies or third-party analytics or advertising tools. If we add analytics in the future, we will update this policy and, where required, ask for your consent.

10. Minors

This website is intended for businesses and professionals. We do not knowingly collect data from minors.

11. Changes to this policy

We may update this policy to reflect legal or operational changes. The date of the latest update is shown at the top of this page.
